5) Other Cash Office Functions


In order to keep up to date with all the transactions on your accounts you should regularly request statements from the cash office web page.

We aim to provide your statement within 24 hours, however during busy periods it can take up to three working days.

Transferring Money Between Groups

If you want to transfer money to another society, or move money between your own accounts, there is a “Transfer Request” form.

Make sure that you have entered details into all the fields before you request the transfer. Transfers are processed on a Thursday afternoon.

You'll receive an e-mail once this has been processed.


Sometimes it can be necessary to invoice a company or sponsor in order to get them to pay you.  If you would like us to invoice someone on your behalf, please complete a “Invoice Request Form”. Return this to the Cash Office either in person or via email.    

Please make sure you complete all fields, attach any evidence of the transaction thus far, and in the case of sponsorship, include a copy of a signed contract detailing the sponsorship agreement.

Book Sales & Mass Refunds

If you’re running a book sale or need to refund a large amount of people, we can help to make the process more simple for you.  Simply collect the relevant data from those you are paying (name, bank details and e-mail address) and input it onto a spreadsheet. Then print this off, and attach it to a single green expenses form which you can then have authorised by a signatory and submit it to the Cash Office.

Credit Card Machines

It is possible to loan one of two card machines.  These can be used to collect money for kits, book sales, ball tickets etc. But NOT membership - Please process all membership purchases through the website.

This money will go directly into your account.

In order to book a credit card machine for your society please email askfinance@leeds.ac.uk indicating what day(s) and time you'd like to hire it.

*Unfortunately, due to high demand it is not possible to loan a card machine during Freshers week.

Selling Products Online

You can sell memberships, events, trip tickets and kit etc through your webpage. 

This money goes directly into your account.

For help setting up payments on your webpage please speak to your Development Coordinator, or contact the Student Activities Reception at activities@leeds.ac.uk

Direct Debits

We have a direct debit system that has been set up to collect payments from Alumni who wish to donate to a society, as opposed to current society members. This will automatically take a small amount from their bank accounts each month to donate to your Club or Society.

If you wish to set up a Direct Debit to collect money from your Alumni please contact the Cash Office at askfinance@leeds.ac.uk

Alton Towers

We currently offer Clubs and Societies discounted tickets for Alton Towers.  Student tickets can be purchased for £24.00. This is currently cheaper than a 2-for-1 deal!

You can order these by contacting the cash office, askfinance@leeds.ac.uk.

We need at least 48 hours notice to get the tickets sorted for you. If you leave it later than this, we cannot arrange the cheap tickets.

By arranging transport and booking tickets through us, you can sell packages to members, and have the opportunity to make a profit for your society.

Bars / Venues / Gear

It is possible to arrange a tab directly with any of our bars and venues, the money will be taken from your account directly.  You can also arrange 3 course meals, Christmas Dinners or (in the summer) BBQ’s for your society.

You can also hire any of our venues by emailing events@luu.leeds.ac.uk with basic event details (i.e. club night/ live music event/ comedy showcase and proposed opening times and dates) and in return you will receive an event proposal form.

If you wish to order hoodies (etc) from Gear, again we can arrange to take the money directly from your account when the order is made.  Please ask in the GEAR shop for more details.
